We have an opening for Accounting Specialist in our Syracuse office.


As an Accounting Specialist at Prudent Engineering, you will play a crucial role in maintaining the financial health and integrity of our organization. You will be responsible for a variety of accounting tasks and will work closely with the finance team to ensure accurate and timely recording of financial transactions. The ideal candidate will possess a keen attention to detail, strong analytical skills, and a solid understanding of accounting principles and practices.


Key Responsibilities:

  • Billing Coordination: Collaborate with various departments, such as sales, finance, and operations, to obtain necessary information for invoice creation and resolve any discrepancies.
  • Data Entry: Enter and update customer information, sales data, and billing details into the invoicing system accurately and efficiently.
  • Review and Verification: Perform thorough reviews of invoices for accuracy, completeness, and compliance with company policies and customer requirements.
  • Dispute Resolution: Investigate and resolve billing inquiries, disputes, and discrepancies promptly and professionally, ensuring customer satisfaction.
  • Relationship Management: Communicate with clients and internal stakeholders regarding invoice-related matters, providing exceptional customer service and building strong relationships.
  • Reporting and Analysis: Prepare periodic reports on billing activities, outstanding balances, and aging analysis to support financial decision-making processes.
  • Process Improvement: Identify opportunities to streamline and improve the invoicing process, suggesting and implementing effective solutions to enhance efficiency and accuracy.
  • Documentation: Maintain proper documentation of invoice-related activities, including correspondence, adjustments, and any other relevant records.
  • Compliance: Ensure compliance with applicable regulations, laws, and company policies related to billing and invoicing.

Requirements:

High School Diploma or equivalent; Associate or Bachelor's Degree.

Strong numerical aptitude and attention to detail, with the ability to analyze and interpret financial data accurately.

Proficiency in using accounting software and invoicing systems; knowledge of ERP systems is a plus.

Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.

Exceptional communication skills, both written and verbal, with the ability to effectively interact with clients and internal stakeholders.

Problem-solving and critical-thinking abilities, with a proactive approach to resolving issues.

Strong customer service orientation and a commitment to providing outstanding service to clients.

Ability to work independently as well as collaboratively within a team environment.

Proficiency in Microsoft Office Suite, particularly Excel, for data entry, analysis, and reporting.

Salary: $39,000-$48,000*
