About the Firm

Prudent has been serving clients in NY and PA since 1992. The firm employs more than 100 people and provides civil engineering and surveying services; specifically, construction inspection and management, bridge and highway design, bridge/structural safety inspection, land and geospatial surveying, and hydrographic services.

Prudent’s primary clients are transportation agencies such as New York State Dept. of Transportation, New York State Thruway Authority, Pennsylvania Dept. of Transportation and various state and local agencies.

Knowledge, Skills, and Abilities

Prudent has an opening for an HR Coordinator to support the CFO with the day-to-day operations to help support a happy, healthy, and productive team. This position requires experience with employee relations, and exceptional detail and organizational skills.

Essential Job Duties and Responsibilities: (Additional duties may be assigned)

·       Provide general Human Resources support to staff

·       Prepare and manage HR documents

·       Onboarding of new and rehired seasonal employees

·       Organize, update, and maintain personnel files electronically

·       Perform data entry in Ajera system software

·       Record employee information and status changes

·       Enroll staff in company benefits programs (ex: health insurance, 401k, direct deposit, HSA, etc.)

·       Work with payroll company and confirm any changes prior to payroll processing

·       Upload 401k payroll information to 401k provider

·       Assist with H1-B processing of eligible employees

·       Complete yearly reporting requirements for 401k Plan, ACA, OSHA, etc.

·       Assist with Company Insurance Policy renewals (Commercial, Professional, Auto, etc.) yearly with Company Broker

·       Assist employees with paperwork regarding Federal and State programs (ex: PFML, WC, Disability)

·       Confirm Unemployment eligibility and complete paperwork for state filing

·       File quarterly Multiple Worksite Reports

·       File monthly reporting to the Bureau of Labor Statistics - CES

·       Organize and record completion of yearly mandatory training (ex: Anti-Harassment)

·       Random Drug and Alcohol Screening for employees

·       Confirm employee driver records via LENS software

·       Assist in coverage of Receptionist duties

Requirements

·       Associate degree or higher

·       Three+ years office administrative experience 

·       Proficient in MS 365 Office Suite, data entry, spreadsheets, and generating reports using standard software applications. 

·       Ability to pass background check

·       Ability to make administrative/procedural decisions and judgments. 

·       Ability to manage multiple requests and work on multiple projects simultaneously 

·       Strong verbal and written communication skills including sensitivity and ability to work with confidential information. 

·       Ability to achieve deadlines under pressure, work independently, investigate problems, and initiate solutions. 

Salary Range

$18 - $25/hour*
